Annual ICD Code Compare and Update

2006 list is not a complete list , but additions only, approx 210.

We’ll need to compare to previous year, and for any ICD on the new list , find the old one with less specificity  and mark as Inactive.

 

Select #9, Other Programs, and then select Annual ICD Code Compare

2006 -2007 ICD9 Updates

Select: __

1.    Print List of Updated codes

2.    Select which codes to Add to system

3.    Add Selected codes, mark old ones as inactive

4.    Print report of Added and de-activated Codes

 

1.  You should print and review the new codes.  You may not want to import the entire list

2.  If entire list is to be merged, skip step 2, go to step 3.
The system will bring up entire list, and allow you to SELECT or Skip each code.  Only the Selected codes will be merged. 

3.  Based on your selections,  the new codes will be merged and the old codes will be marked as Inactive.  Old codes are not deleted because old SVC’s still use those codes. 


4.  A report of added and de-activated codes is created.

New ICD codes are published annually, either as a brand new 3 digit code, or as further 4th and 5th digit precise coding.  Unfortunately, there is not a list of just the changes; the list is created in it’s entirety.

 

We need a program to perform following:

  1. Compare this year’s complete list to last year’s list, reporting on:
    1. List of codes deleted, not on new list.  For each deleted code, try to find the new 4th & 5th digit precise one.
    2. List of new codes
  2. Compare new master file with existing SERKEY file,
    1. Existing ICD’s that are not on new list, mark as Inactive
    2. Add new codes for better 4th & 5th digit precision

Note:  We may not want to automatically add all the new codes into SERKEY since it would clutter the file with many irrelevelant ICD’s.

 

User instructions:

This program is run once per database.

                   2.  Mark old ICD's as Inactive in CyberMed SERKEY

                   3.  Add new ICD Codes to CyberMed's SERKEY

  

                   99.  Build Master File from ASCII list 

 

NOTE: 2004  is the latest ICD list,  released and effective Oct 2004 

 

Select #1:

Enter old year:  2003

Enter new year:  2004

 

A report will be produced of Deleted and New Codes.

 

Select #2

Enter New Year:  2004

A report is created.  Print and review.  If acceptable,  answer YES to delete old codes.

 

Select #3

Each new code will be displayed;  answer  Y or N  to insert into your file.

#99 is reserved for Zybex CSR’s only. 

 

CSR Set Up:    icdcomp.run  Ver 9.6(100) or later.

 

ICD files are downloaded from http://cms.hhs.gov/providers/pufdownload/default.asp#icd  The download files are typically named  v22_icd9.zip,  etc.  When unzipped, the files names are v22icd9_file1.txt, etc.  There are 2 files.  Zybex CSR will do this.

The larger file is the one we want; these are the medical diagnosis

The 2nd smaller file is surgical diagnosis, ignore it.

The ASCII file should be placed in [255,1], named as  icdyyyy.txt,  etc.

icdcomp.run:  Program has following menu options:  Run Option 99 for clients to get the Master files built.

 

 

Compare Master ICD Files from 2 different years
Creates report called icdcomp.err
Assumes step 1 above is done

 This produces a report of the NEW codes and which old code it replaces.

Compare Master file to CyberMed’s SERKEY file

Create Report Only

Mark Old ICD’s as inactive,

2 Step process.

1st create report and review

2nd  Decide to mark the OLD ICD’s as inactive.

Insert New ICD Codes

Requires client interaction.  Will insert from list created by #2 above.

Build Master ICD files from Sequential ASCII files, specify year
This step will usually be done by Zybex
