Automatic Write-off’s

 

Situation: There are several examples of automatic write-offs.

1.      Certain chgs are deemed uncollectible, we wish to write those off.  Other charges on the same account are valid, we don’t want to touch those.

2.      Small Balance write-off.  Accounts with small balances can be written off, assuming they are old accounts and it’s been a while since last activity.

3.      Write off to collection agency.  When accounts are turned over to collections, the balance will be written off so it doesn’t affect total AR.

 

Approach:  We will use CyberMed’s powerful reporting tools to determine which TRX’s and which accounts will be automatically written off.  The reports we will use are Open Item TRX and Cumulative Journal.

 

Procedure:

1.      Uncollectible charges:  This will be handled with Open Item TRX.  Create a report which will pick charges based on either:

1.      a.      SVC Code

2.      b.      Chg Category

3.      c.      Date Range

4.      d.      Insurance (if necessary)

Run the report and review the results.  Look at some actual accounts selected to verify they are the correct charges to be written off.

2.      Small Balances:  Use the Cumm Journal program to create parameters selecting accounts based on Balance  (Skip zero balance of course).  We suggest following selections:

3.      Collection Agency write-off.  These are bad debts.  You should set up a separate bill code for Bad Debt-Collection.  You must change the patient’s bill code to this Bad Debt bill code.  Then run a Cum Journal report, selecting this one Bill Code only. (Skip zero balance of course).


In each of the above examples, you must run the report to create an index that specifies which TRX’s and Patients will be written off.  Choose #9, Other Processes,  and select Automatic WriteOffs.

Examples: Medi-Medi writeoffs, Medicare will not pay for non-supervised physical therapy (pt) or any procedure code which does not meet COVERAGE GUIDELINES (skin tabs).
