PATIENT REGISTRATION:

 

  • If using PCP Doctor, REFDOC #1 is always NO REFERRAL *
  • Easier way to print letters, labels, charge slips, etc.

TRANSACTION ENTRY AND EDIT:

 

Charge Entry:

·        Charge Entry, Control what fields to skip

·        If CHG is PT, compare to Date Last Seen.  Update Date Last Seen if SVC is E&M code (no link)

·        TRX Entry Rules to validate based on CPT, Doctor, ICDA

·        Valid Modifiers for Insurance Claims

·        MULTOI Chg entry, automatically import chgs from Optical Inventory orders

·        Multiple Dayfiles per Database, one per Operator (see requirements below)

o       Benefit:  Suppose July 1st comes along, and staff entering payments wishes to start entering July payments.  However, Charge entry staff has not finished entering some charges from June.  Staff entering charges can keep a day file open to June, while the payment posting staff has already opened a day file in July.

 

EOB/Payment Entry:

 

Delete Transactions:

  • Now will allow you allow delete Charges Billed to Insurance, as long as they have not applied payments yet.

 

PATIENT BILLING:

 

  • Bal Fwd style statements, dunning message based on Patient due aging, not  entire account aging

  • Improved HCFA 1500 alignment on laser printers.  The Red HCFA form doesn’t align vertically on laser printer, mainly because form itself is not properly lined up.  The form may appear fine at top, but is off at the bottom half.  We have come up with a solution.  We can have the paper advance only ½ a line feed somewhere near the middle of the page.  This will usually bring it back into alignment

 

REPORT GENERATION:

·        Nice comprehensive Drill down reports by Doc, Plc, Categ, Bill code  This is part of our Super Month End package.  Easy way to look at previous month’s reports. (#6 from Month End)

  • Quick Biller from Reports: Now you can use the powerful CyberMed Open Item Trx Detail (MM, 4 Report Menu, 3.3 OI Trx) report generator to select the transactions to be billed.
  • Small Balance Automated Write Off, now saves staff time posting many individual adjustments, and improves management reporting by eliminating small and uncollectible balances.
  • Reports by Requesting Doctor vs Rendering Doctor
  • Cumm Journal: New Select Field: Patient Aged Count
  • CyberMed Mail Merge with MS-WORD
  • Boilerplate Letters:  Export/Import option to transfer letters across databases
  • Choosing Letters to Patients, can scroll forward/backward
  • Open Item TRX report: When use Tally function, will give average per Pat and per Visit. Used to be avg per TRX **
  • Enhanced report parameters include “last run date”, password protection,  # pages on each report.
  • One Minute Manager:   The end of the report now has prior year comparisons.

 

RECALLS:

  • Recall Labels, Option to Skip printing Resp Party on Address Labels
  • Recall letters can be printed on Laser sheet Postcards ( 4 to a sheet)

 

CHARGE SLIP:

  • Open Chg Slip Report:  Will Scan TRX’s to look for posted charges
  • Rebuild Charge Slip Control is automated
    • Are all clients using Charge Slip Control to track Chg Slips ?
    • Did you know we can print entire chg slip on plain paper, instead of pre-print?

 

APPOINTMENT SCHEDULING:

  • Appt Schedule: Booking Density Reports
  • APPKEY, Option to set how many months of Appt History to display
  • Appointment Scheduling Check-In process will allow users to enter patient’s copay.  This will create a payment transaction on the account, as well as an option to print an on demand receipt.  The copay paid amount can also print on the charge ticket.
  • Marking No Show Appointments improves appointment census reports, improves “history” and voids assigned but unused charge tickets.

 

COLLECTIONS:

  • Quick Biller: Can create letters for patients selected by Cumm Journal
  • Multiple operators can each have a pre-set criteria for Claim assignment, i.e. dollar amount ($) cutoff, Billcode Select and Deselect. 
  • Follow-up period can be set for each Insurance,  Field #25 Days Past Due.  Default is 30 days. This allows you to set 21 days for Medicare,  60 days for HMO Insurances,  etc.
  • If TRX SVC=18 notes are entered thru Look at Accounts

 

REFERRAL MODULE:

  • System generated Referrals:   Referrals will track # of visits used. During Appointment scheduling will warn on expired or exhausted referrals.

OTHER PROCESSES:

 

SUMMARY PROCEDURES:

Day End Procedures:  

  • Daily Summary by Place, now has a Summary by Procedure Category.  These categories are set up in your service code file.  This also helps clients to stay on top of procedure service codes that have been setup, and client forgot to assign a  “category” since procedure without a category will appear as “category 0”.

·        Set up SCANDAY statements to immediately send patient statements for the service on a EOB you posted today.  If you set this up, they will automatically be produced and printed when you print the daily summary.

 

Month End Procedures:

·        At Month End, create a zip archive file of entire database, kept in save directory  (linux only)
